This Privacy Statement describes how the TEXL O365 Calendar Integration handles information. It should be read together with our Terms of Service.
TEXL Development FZ-LLC (“TEXL”, “we”, “us”, or “our”) provides the TEXL O365 Calendar Integration (the “Service”), a room-booking integration that connects to a customer’s Microsoft 365 (Office 365) environment to display and manage room calendar and booking information.
The Service is deployed and operated within the customer’s own environment, typically on infrastructure the customer owns and controls. The customer’s Microsoft 365 data is accessed and processed locally by the Service on that infrastructure. TEXL does not host, receive, store, or have access to that data; the customer organization controls it at all times.
This Privacy Statement explains what information the Service accesses and how the software is designed to handle it.
The Service accesses only the Microsoft 365 data necessary to display room booking and availability information. Depending on the permissions your administrator grants, this may include:
In addition to reading this information, the Service can create, modify, and cancel room bookings — for example, booking a room, extending a meeting, or releasing an unattended meeting — at your users’ request. The Service accesses this data locally within your environment and does not transmit it to TEXL. It does not request access to personal mailboxes, message content, files, or data beyond what is required to provide the room-booking functionality, and does not knowingly collect data from children.
The Service, running within your environment, accesses Microsoft 365 data exclusively through Microsoft-approved interfaces (such as Microsoft Graph) using OAuth 2.0 authorization. Access is granted only after an administrator of your tenant consents to the permissions the Service requests, or a designated service account signs in, and can be revoked at any time from the Microsoft Entra admin center.
The Service requests the minimum scope of permissions required for its room-booking functionality and does not use unnecessary permissions.
The Service uses the information it accesses only to:
TEXL does not receive your data and does not sell it, use it for advertising or profiling, or use it to train machine-learning models.
The Service stores data only within your own environment, on infrastructure you control. To operate, it maintains a working copy of the relevant room calendar and booking information, together with configuration settings, in the Service’s local database. Retention of this working data is configurable and can be adjusted to suit your organization’s requirements.
Because this data resides entirely on your infrastructure, it remains under your control at all times, and TEXL does not hold a copy of it. When you stop using the Service, you control the deletion of any data it holds by decommissioning the Service or removing its database.
The Service does not sell, rent, or transmit your Customer Data to TEXL or to any third party. Because it runs within your environment, the only external system it communicates with is Microsoft 365 (through Microsoft Graph), which is the source of the calendar data.
Any onward sharing of data from your environment is under your control and subject to your own policies and agreements, including your agreements with Microsoft.
The Service is designed with security in mind: it communicates with Microsoft 365 over encrypted connections (TLS), stores authentication credentials and tokens encrypted at rest, applies the principle of least privilege, and supports access controls for its administrative interface.
Because the Service operates within your environment, the security of the underlying server, network, and database is your responsibility. No method of transmission or storage is completely secure, and absolute security cannot be guaranteed.
Your data is stored and processed where you deploy and operate the Service — within your own environment. TEXL does not transfer your data across borders, because TEXL does not receive, host, or have access to it.
Depending on your jurisdiction, you or your organization may have rights to access, correct, delete, restrict, or object to the processing of personal data, and to data portability. Because the data is held and controlled entirely within your organization’s environment, individuals should direct such requests to their organization, which controls the data and the Service. TEXL does not hold or have access to your data and therefore cannot action such requests on your behalf.
You can withdraw the Service’s access to your Microsoft 365 environment at any time through the Microsoft Entra admin center or the applicable Microsoft account settings.
We may update this Privacy Statement from time to time. When we do, we will revise the “Effective date” above and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated Statement.
